These documents can become difficult to manage over time if there is no system in place to track their preparation and distribution within and across functional areas. Organisations have therefore come to rely on the process of document control to effectively manage the security, versions, and availability of documents generated during daily operational activities.

Documents describe the inputs and outputs of processes, and answer the questions ‘who’, ‘what’ ‘where’, ‘when’, ‘how’ and ‘why’ of the process activities. They even describe directly or indirectly who authorizes actions and who is authorized to perform the action. Documents are therefore considered as the guardians of an organisation’s intellectual capital!
